Requirements for Property Management Companies

I am creating my first big commercial bid for a property management company. I was asked to create a bid for (7) 4 unit buildings, (1) 8 unit building, and a 16 unit building. I know my local prices for residential and think I am priced pretty decently. My question is, within your proposal, do you add requirements that the management company needs to inform the tenants about? This is what I have started. Let me know if you think I am going overboard or if there is something I am missing.

By electronically accepting this proposal, you acknowledge your responsibility to let the tenants know what day(s) Wisco Wash Pros will arrive for the agreed upon work. In order for Wisco Wash Pros to complete the agreed upon work in a safe and efficient manor, please instruct the tenants to do the following prior to the beginning of each scheduled work day:

  • Each tenant must remove their items from their deck/balcony. Examples: grills, chairs, tables, electronics, plants etc…
  • Each tenant must remove their items from their patio/concrete slab. Examples: grills, chairs, tables, electronics, plants etc…
  • Any vehicle parked in the driveway must have a minimum of 20 feet between the garage door and the front bumper.
  • Verify every window and/or door is closed to minimize any chance of water getting into their residence while washing is occurring.

You’re the boss. Write what you want. On a large job I’ll always include specific terms and conditions.

Make sure to include “we are not responsible for damage caused to tenants property that has been left outside” type thing

You might want to include T&M rates for the inevitable. If a tenant leaves all their furniture etc. out on their patio, there will be an additional $x an hour + material for moving items.

Tenants with a vehicle impeding your work will still be charged a $x fee and rescheduled for a later date at your normal fee.

Definitely cover yourself for any damages and include payment terms like payment due within 20 days of invoice.

Hi Bill, if its your first time quoting for a big job / property management company it is very important to have your T&C’s accepted, most likely they have others quoting and by asking the question you obviously have a nagging doubt that your overdoing it on the conditions… feeling a bit like a “beggar with conditions” !!
The approach is key,
I am in Europe so it may be completely different here but finding a key differentiation factor might be the way to get the big ones !
Even if your a bit higher priced or so that you don’t need to be the lowest priced and to get your conditions accepted focus there attention on Quality, rather than just “conditions” or price.

In your preamble say, As part of our “Quality Assurance System” we require that you provide each occupier with the attached “Quality and Safety Guide”…… gives the appearance immediately that you are focused on quality ! and even if you don’t have a written Q.A.S , you do follow a process which leads to a great outcome.
Make a A4 page with your headed paper, attach to the quote with your conditions for the occupiers. you are putting the responsibility on the occupiers rather than the property management company so make the list as long as you wish, including covering sockets ect, might make you stand out from others who make a list of responsibilities for the PMC. sorry rambled on a bit, hope it helps !
