Need help staying organized

I tried something new recently and it’s been working. I schedule enough work to last most of the day but still have a few hours to spare each day. As customers call I tell them the next available is 2-3 weeks but I can likely get to you sooner if you’re ok with a 1hr notice. I have a scheduled list and a list of get to when I can. So when i finish my scheduled work I can usually get in another job or two but if not, no harm no foul. Either way everyone is happy, I’m not stressing about keeping the schedule and customers are happy they got a wash sooner.

Customer Factor helps tremendously. it’s one of the best things I’ve done to stay organized

I use a day planner and a #2 pencil. I get an email, copy over the propties in my book and draw a line thru the month when it is fully booked. That email finished out November so two more weeks and the year is full

I have all the tools to schedule the jobs. My issue is keeping track of all the calls and messages coming in. I have an average of 10 calls and messages a day 7 days a week. Im trying to stay away from getting a secretary, but I just cant keep up. Im so in tune to talking to the potential client and closing the job in a min its hard to let go

When you schedule is full, don’t answer the phone

Thats my problem. I have a hard time disconnecting and letting that go. Im too worried about disappointing people and getting bad taste in people’s mouth. Im running two guys, two rigs and myself right now and I cant keep up. I need to learn to just say no…Its hard with my type mentality.

I was there. It stressed me out. Put me in the hospital three years ago. Now, I answer the phone when I need work.

I use a planner for schedule also, but only use black pens… i hate blue ink pens. Ill use the Joist for estimates but thats it. I hate when people email me, call/text and send me an address/email and we are good.

Change your voicemail greeting. Tell them straight up how far you’re booked out, and that the best way to get on the waiting list is to email you at kmp@kmppressurewash dot com or whatever it is. (But enunciate clearly and repeat the email address; I’m getting a lot of voicemails saying they didn’t quite get it, so I need to re-record mine).

Then you can get back to people after hours, or have a polite canned rejection letter to send to the leads you’re not interested in.

I just put on my voicemail that we will call you back within 48 hrs and also they need to leave all their information and what they are looking for in their message. If they dont then I delete the message.
When they tell me they need it done immediately I also delete the message. I am out over a month so there is no reason to even call them back especially when they need it done right away becuase of their poor planning.

Why are you still talking to them? Bidslot fields all my calls and narrows them down to the ones I need to handle. Worth every penny.

Still need to take an hour out of my day and call them… Way to many estimates that have not been followed up on. I sent an email to all the people Ive sent bids to over the last month because it was easier than calling them all. Email blast was to about 40 and closed 5 the next day.
