New company have a big quote need help

Hey everyone , i started a fleet wash/surface cleaning company a few months ago , been pretty busy but I’ve been doing gas station concrete and off-road equipment like skid steers and back hoes there pretty easy to price , little info on set up , ford F450 no bed with a skid mounted , gb 4000 washer with burner 4.8gpm at 4k psi , 350 gal of water on board , the jobs are about 20-30 min travel , any way i have a large trucking company reach out to me wants a fleet of 80 semis completed a week , 50 miles a day round trip commute, each truck has two trailers , so 80 trucks 160 trailers they want completed a week , hot water rinse only no chems at this time just knock the dirt and build up off , I’m on the west coast

Were do i start on pricing for a fleet like this , i was thinking just a hourly rate and a fuel charge and rock and roll , i dont want to over complicate it with a huge price package unless they start adding in chems and different details included .

any help to ball park it ? they want 5 days a week washing on these trucks 10 hrs a day and just a revolving wash as trucks roll through

I wouldn’t touch this account unless they wanted it washed properly. Your name will be attached to this and they won’t be cleaned after you rinse them off.

Doing a proper maintenance wash on a day cab should take you around 10 minutes per to two step them by yourself. I wash 70 once a month at one company and it takes multiple days due to them being constantly on the road.

yeah these are constantly on the road as well the company does not want soap or anything there hauling dirt on and off road just want to knock off the build up pretty mush not a detail or anything just a hot water rinse and inspection

can you do the amount of work they want in the time they want? if so, id calculate a day rate, flat fee for 10hrs of being available. but you have to deliver the quantity they want.
are you having to be mobile and drive to the truck/trailers? or a centralized location?
I’ve got the perfect pump you need for this.

I’m not even close to a noob, but the rubber scrubbers seem to talk about your average truck taking 10-15 minutes and a trailer maybe 10 minutes more. Prices per piece might be $45 for a truck and $30 for a trailer?

For easy calculation and some leeway on treating people like people instead of machines, I’m going to use $37.50 per piece as an average price and say it takes 20 minutes to wash each.

Time wise, we require 4800 minutes invested in a week, or 80 hours. How are we going to do 80 hours of work in the 50 hours the customer requires? We are going to hire 2 people and pay them a good wage. One will work 8-4 and the other 10-6 covering our 10-hour commitment to the client. We give each a $10/day food stipend and provide drinks up to $25/week.

Fleet Service Proposal Breakdown

Try to get them bound to a contract of say a month test period and after than a yearly one if both parties agree. Require that they provide a dedicated wash space (say 40’x60’), electricity, and water. In the yearly contract, add language that they will allow you to erect a temporary structure (think large plastic/canvas hanger and a shipping container) in your wash area and they will help to facilitate any needed permits required. If they are okay with all that and you get the year contract, use that contract to secure a small loan of maybe $50k. With that money, buy and renovate a used shipping container to be your mobile office/garage/bathroom for maybe $10k, build three mobile wash carts at about $7500 each (use two at a time and rotate them so you give yourself a spare and the ability to do maintenance on one at any time), get yourself a couple big buffer tanks, and get the temporary shelter in place. If you have money left, get some basic chemicals. I know the customer says they don’t want it, but they may change their mind or worst case you can use them to clean your own wash truck. Using half your weekly profits, you can pay off that loan in 34 weeks. At that point, you would have 4 months remaining on the contract, a steady $12k/month profit, and a complete mobile wash location.
